The Challenges
We are tasked with collecting and delivering the students’ coursework for exhibition at this major event. Heads of year and lecturers receive loading and show times close to the event date. We collaborate on vehicle sizes and scheduling, advising on the optimal collection and delivery plans to meet these precise timings.
Each year presents unique challenges, with loading and collection often occurring on weekends or outside general working hours. We must account for potential road delays to ensure the garments arrive on time for the shows. Additionally, with many other universities present, we provide the necessary support for the safe and timely loading and unloading of goods for students and lecturers.
The Solution
We carefully plan the appropriate vehicle size and schedule. Our drivers are thoroughly briefed on what to expect during collection and delivery. Typically, we use Luton tail-lift vehicles, which are ideal for handling garments on hangers and show props. Sometimes, we load the night before and store everything in our secure warehouse, allowing students and lecturers to arrive on-site promptly. Collections are coordinated as meticulously as deliveries to ensure a smooth process.
Effective communication and punctuality are crucial, as late vehicles can cause stress and anxiety for both the client and our team. We maintain clear communication with our drivers and the university staff, ensuring seamless delivery and collection. This allows the students and lecturers to focus on showcasing their hard work without any logistical concerns.
